Introduction

Prior to adopting the Valhalla Platform, the clinic faced inefficiencies in its administrative and clinical intake workflow. Two separate teams, the front desk and medical assistant teams, were responsible for managing patient intake, often leading to bottlenecks in patient flow and documentation.

Methodology

  • Patients were sent Valhalla digital intake forms three days prior to their scheduled appointments.

  • Patients who had not completed their forms before arrival were provided with a clinic-owned tablet to complete their intake process.

  • Upon form completion, the Valhalla Platform automatically generated documentation and Evaluation & Management (E&M) CPT codes.

  • Feedback was collected from front desk and medical assistant team members to assess efficiency improvements.

Results

  • 10-15% increase in overall efficiency.

  • Performed the equivalent work of 1 out of 8 receptionists.

  • Performed the equivalent work of 1 out of 9 medical assistants.

  • Achieved over 8x return on investment (ROI).

Assumptions

Time spent on the following activities before implementation:

  • Digital registration: 10 minutes

  • Screeners only: 6 minutes

  • New patients + Screeners: 14.5 minutes

  • Follow-ups: 6 minutes

Median salary of clinical receptionists and medical assistants in HI:

  • Receptionist: $31,909/year

  • Medical Assistant: $39,580/year

Conclusion

By leveraging the Valhalla Platform, the clinic experienced significant improvements in operational efficiency, reducing administrative workload and optimizing resource utilization. The automation of intake documentation and E&M coding not only saved time but also improved staff productivity, ultimately delivering substantial cost savings and a high return on investment.
